In my own businesses I run more than a dozen AI agents with a supervising agent on top, and the lesson is the same every time: give AI the preparation, keep people on the decision. Before a first meeting, a rep can ask Claude or ChatGPT to summarise a company's business lines, recent announcements and likely priorities from public information, then list five sharp questions to ask. That turns a 90-minute research slog into a short prep step. The rule is simple: the rep verifies any fact before using it in front of the buyer, because AI can sound certain and still be wrong. Good research makes the first conversation about the buyer, not about your brochure.

Yes, if the rep supplies the real context. A follow-up written from the actual call notes, the buyer's own words and the agreed next step reads like a person wrote it, because a person did the thinking. A follow-up generated from nothing reads like a template, and buyers can tell. Give the tool the notes and your usual tone, ask for two versions, then edit and send under your own name. The goal is speed with a human voice, not volume. Spamming a hundred prospects with AI text will hurt your brand faster than it fills your pipeline.
A proposal has fixed parts (company background, scope, process, terms) and variable parts (the buyer's problem and your answer to it). Let AI assemble the fixed parts from your approved material and draft the variable part from the discovery notes. Then a senior person reviews every line, especially scope, commercials and timelines. Do not let AI quote prices, promise delivery dates, make claims about your product that nobody on your team has checked, or send anything to a customer without approval. Do not paste confidential customer data into a free public tool; use the company-approved tool and a clear data rule. Negotiation, reading a buyer's hesitation on a call and deciding when to walk away stay with your people. AI can prepare the room, but a rep has to walk into it.
Train by role and by real work. A field rep, an inside-sales caller and a sales manager need different workflows, so run hands-on sessions on your own CRM notes, your own proposal templates and your own objections. Pick one workflow first, such as post-call follow-ups, measure time saved and reply quality for a month, then add the next. Include a short rule sheet: what to automate, what to review, what never to paste.
