Paste in the template, tell it which fields to fill (name, role, joining date, location), and ask it to change nothing else. Then compare the output against the template line by line. The risk is a quietly changed notice period, probation term or benefit. It writes confidently even when it is wrong. So the fill-in is the AI's job, and the clause check is a person's job. Give ChatGPT the role, reporting line, team size, must-have skills and three real outcomes of the role, then ask for a JD in your format. Yes, but only from your own policy text. Paste the relevant policy and ask it to draft a reply using only that text, and to say "not covered" when it is not. This one instruction stops most wrong answers. Better still, keep approved policies in one knowledge base such as a Notion page and let the tool answer from it. Route anything about disciplinary action, harassment, termination or legal disputes to a human. AI can draft the reply, but the HR person owns what is said to an employee.
Do not paste salary sheets, bank or ID numbers, medical records, performance files of named people or anything from a disciplinary case into a free public tool. If a task needs personal details, remove the name first and add it back after. Also avoid asking it to rank candidates or rate employees, because it cannot see the full picture and can carry bias. Where personal data is unavoidable, use your company-approved business account and check your data protection obligations with your legal team.
A safe setup has four parts: a business or enterprise account, one page of rules, a folder of approved templates and policies, and a named reviewer for every document type. Start with these on day one and add tools later. I run my own businesses with more than a dozen AI agents and a supervising agent, and the same pattern applies: the agent drafts, a person approves. For HR, that means the tool never sends anything to a candidate or employee on its own.
Any of the four works for drafting. ChatGPT, Claude and Gemini are all good with letters and summaries. Microsoft Copilot suits teams who work inside Outlook and Word. Choose by where your data already lives and what your IT team has approved, not by which one is trending. Try the same real HR task in two tools and compare the output.
