Private AI for companies means using AI where your salary, payroll and employee data stay under your control. Here is what HR and finance teams should know first.

Private AI for companies means using AI in a way that your employee, payroll and finance data never becomes someone else's training material or leaves your control. You can get there with a business plan, a company-managed tenant, or a model running on your own laptop. NASSCOM-Deloitte estimates India needs 1.25 million AI professionals by 2027, so your teams will use AI whether you plan for it or not.
TL;DRPrivate AI is not a product you buy. It is a promise about your data: what you type in stays inside your control, is not used to train a public model, and can be switched off or audited by your company. When an HR executive pastes a salary sheet into a free chatbot account, that promise is broken. When the same executive uses a company-managed tool with admin controls, it holds. The tool matters less than the rules around it.
In my sessions with HR and finance heads, I see three routes. The first is a business or team plan from a mainstream tool with admin controls. The second is the AI already inside your office suite, such as Microsoft Copilot or Gemini, running under your company account. The third is a small model on a laptop. Always read the data terms of each plan yourself before you commit. Responsible AI at work training covers how teams choose between them.
| Setup | Where data goes | Good for | Watch out for |
|---|---|---|---|
| Free public chatbot account | Outside your control | Generic drafting with no real names or figures | Staff pasting sensitive data by habit |
| Business or team plan with admin controls | Governed by the plan's data terms | Policy drafts, reports, variance explanations | Read the terms; set who has access |
| AI inside your office suite (company account) | Inside your existing tenant | Mail, documents, spreadsheets already in your suite | Old folder permissions become visible to AI |
| Model running on a company laptop | Stays on the machine | Summarising sensitive documents | Slower, less capable than hosted models |
Start with the task, not the tool. HR teams use AI to draft job descriptions, rewrite policy language, summarise exit interview themes and prepare interview question sets. Finance teams use it to explain variances in plain English, draft vendor follow-ups and structure reconciliation checklists. Anything involving named employees, salaries, bank details or unreleased numbers needs the private route. Generic drafting, with no real names or figures, can happen on a standard business plan. Draw that line in writing before anyone starts.
Some things should never go into any AI tool that is not approved by your company: Aadhaar and PAN numbers, bank account details, individual salary and appraisal records, medical or disciplinary files, and unreleased financial results. A simple habit helps. Replace names with roles and real figures with placeholders, then ask the question. And whatever the AI produces, a person approves it. AI drafts. HR and finance decide. Never let it send, approve or pay on its own.
Yes, for lighter work. Free, open models can run on a modern laptop with tools like Ollama or LM Studio, and nothing leaves the machine. They suit summarising a document or drafting a first version. They are slower and less capable than the big hosted models, so treat them as a locked drawer for sensitive text, not a replacement for everything. I run my own businesses with more than a dozen AI agents and a supervising agent, and I still keep a clear rule on what each one may touch. See the AI training for corporates programme for how I teach this.
You do not need a big IT project. Pick one team, usually HR or finance, and one approved tool. Write a one-page rule: what is allowed, what is banned, who approves outputs. Run a short hands-on session with real tasks from that team, then review after a month. Add a second team only when the first is comfortable. If you want a trainer to build the session around your actual workflows, send an enquiry and I will propose a plan for your team.

It is using AI so that your company's data stays under your control: not used to train public models, governed by admin settings, and kept off personal accounts. It can be a business plan, AI inside your office suite, or a model running on a company laptop.
Not automatically. Paid plans usually offer stronger data terms than free ones, but terms differ by provider and plan. Read them, set up admin controls, and tell staff clearly which account to use. A paid plan used from a personal login is still a risk.
HR and finance are the usual starting points because they handle the most sensitive data and have clear, repeatable tasks. Start with one team and one approved tool, write a one-page rule, and expand after a month of real use.
