A practical look at how AI helps inventory management teams find stock mismatches, build reorder lists and prepare audit notes, with a person approving every number.

AI helps an inventory management team by doing the slow reading and matching work: comparing stock sheets, flagging mismatches, drafting reorder lists and audit notes, while a person approves every number. Avinash Chate, a TEDx speaker who has trained teams at Bosch and Siemens, trains stores teams safely; NASSCOM-Deloitte say India needs 1.25 million AI professionals by 2027.
TL;DRMost stores teams do not lose time on counting. They lose it reading: ERP exports, GRN sheets, issue slips, vendor challans, and the monthly stock statement that never quite matches the physical count. AI tools such as ChatGPT, Claude, Gemini and Microsoft Copilot are good at exactly this reading and matching. They compare two sheets, point out the lines that do not agree, and write the first draft of a note. They do not know your godown, so a person still decides what is true. That split is the whole method.
Hand AI the repeatable, text-heavy work: a list of items where system quantity and physical quantity differ, a first draft of a reorder list from consumption history, a plain-language summary of slow-moving and non-moving items, and the first draft of an audit reply. Keep these with people: the physical count, the decision to adjust stock in the system, the vendor commitment and any posting. A simple rule I give teams is that AI can suggest and draft, but a named person approves and posts. If a task changes money or records, a human signs it.
Take the monthly mismatch. Export the system stock and the physical count sheet, remove vendor rates, and ask the AI to list items where the two differ by more than a threshold you set, grouped by likely cause such as unposted issues, wrong unit, or duplicate item codes. Then the storekeeper checks the flagged lines on the shelf. The tool saves the hours of scrolling; the shelf check keeps it honest. If the model guesses a cause, treat it as a question to verify, not a finding.
| Stores task | What AI does | Who approves |
|---|---|---|
| Monthly stock mismatch | Flags lines where system and physical differ | Storekeeper checks the shelf |
| Reorder list | Drafts quantities from consumption and lead time | Planner |
| Slow-moving items | Summarises ageing and usage in plain language | Stores head |
| Audit reply | Writes a first draft from your records | Finance or audit owner |
| Stock adjustment in ERP | Nothing; a person posts it | Authorised user |
For reorders, give the AI last six months of consumption for each item, current stock, lead time and minimum stock, and ask for a draft list with its working shown. Check the maths on five items by hand before you trust the rest. Seasonal items, one-off project demand and supplier delays are things the sheet does not know, so the planner adjusts the list. Our post on AI for procurement shows how the next step, comparing supplier quotes, can follow the same way.
Before anyone opens a tool, write three rules. First, no customer names, vendor rates or personal data in free tools; use the company-approved account or remove the columns. Second, every AI output that touches stock or money is checked by a named person. Third, keep a short log of which tasks AI was used for, so an auditor can see what was drafted by a tool. These rules take an hour to write and prevent most problems I see in the field.
I run my own businesses with more than a dozen AI agents and a supervising agent, and I follow live sessions on the newest tools, so what I teach is what I use. My corporate sessions have reached teams at Bajaj Auto, Tata Tech, Mahindra, L&T, Bosch and Siemens. For a stores or inventory team I build the session around your own sheets, in English, Hindi or Marathi. AI can support the work by matching sheets, flagging mismatches and drafting lists, but it should not count stock or post adjustments. A named person approves anything that changes records or money.
Not with raw data in a free tool. Remove vendor rates and personal data, or use a company-approved account, and have a person check every output before it is used.
ChatGPT, Claude, Gemini and Microsoft Copilot all handle sheet comparison and drafting. Pick the one your IT team has approved and learn three or four tasks well before adding more.
