Which AI tools for HR are safe to use? Start with what data goes in. Here is a practical checklist Indian HR teams can use before any tool touches employee data.

An AI tool is safe for HR when you decide what data goes into it, and a person checks what comes out. The tool name matters less than that habit. NASSCOM-Deloitte estimates India needs 1.25 million AI professionals by 2027, and your HR team will be asked to use these tools long before it is trained on them. This checklist is what I give HR heads before any tool touches employee data.
TL;DRStart with a simple split. Open data is safe: job descriptions, policy templates, training calendars. Internal data needs a business plan and care: interview question banks, engagement survey themes without names. Never-paste data stays out of every chat tool: salaries tied to a name, appraisal ratings, medical and disciplinary records, Aadhaar, PAN, bank details. If you can replace a name with a role and the task still works, do that first. Anonymising takes two minutes and removes most of the risk.
For day-to-day HR work, teams commonly look at ChatGPT, Claude, Gemini and Microsoft Copilot for drafting, summarising and formatting. Notion is useful as a shared knowledge base for policies, and Canva or Gamma help with onboarding decks. None of these is automatically safe or unsafe. What matters is the plan you buy, the settings you switch on, and the data you allow in. I run my own businesses with more than a dozen AI agents and a supervising agent, and the first rule is always the same: decide the data first, then the tool.

A personal free account is built for individuals. A business or enterprise plan usually gives you admin controls, account management and clearer terms on how your data is handled. Read those terms for the exact plan you are buying, because they differ between vendors and between plans. Your IT or legal team should sign off on it. The practical rule for HR: if the prompt contains anything internal, it goes through a company-managed account, never someone's personal login on their phone.
AI drafts, a person decides. That line should be written into your process. A person must read and approve resume shortlists, interview scorecards, performance feedback, warning letters, and anything linked to pay or exit. AI can be wrong with full confidence, and it can carry bias from the examples it has seen. Keep a named approver for each of these tasks. Keep it to one page. Five lines are enough: which tools are approved, which accounts to use, which data is never pasted, which outputs need a named approver, and who to ask when unsure. Add two examples of a good prompt with names removed. Pin it where the team works, and review it every quarter because tools change fast. A rule people can remember beats a policy nobody reads.

It depends on the plan and what you paste. A company-managed business plan with admin controls is very different from a personal free account. Either way, never paste salaries, ratings, medical records or ID numbers tied to a name.
It can help sort and summarise, but a person must make the final shortlist. AI can carry bias and can be confidently wrong, so keep a named approver and remove personal details before you start.
