An unfinished project does not deserve another week by default. Here is how to write a project extension note your manager will say yes to, using Basecamp's rule.

Before you ask for another week on an unfinished project, bring your manager a short note: what the extra days will deliver, what you will cut, and when you will stop and decide again. An unfinished project does not automatically earn more time. Basecamp's maker, 37signals, describes this in Shape Up. McKinsey found Indian managers spend 21 hours a week in meetings, so wasted extension weeks are expensive.
TL;DRThe software company behind Basecamp, 37signals, describes a different rule in Shape Up. Big-batch work gets six weeks. The time is decided first and the plan is built around it. The team is also protected from being pulled onto other work again and again. This is an office adaptation for us, not a universal six-week deadline.
If the work turns out bigger than expected, the team has the right to remove the less important parts. What is delivered must work properly, and other features can be dropped. So you do not have to lower quality to save the deadline. The list of work can get shorter instead.
| Extension note line | Example question to answer |
|---|---|
| What it delivers | What will exist in five days that does not exist today? |
| What we cut | Which less important parts are we dropping? |
| When we decide again | On which date do we stop and review? |
If the project is not ready after six weeks, it is not guaranteed more time. First stop, rethink the approach, and make a fresh decision on whether to invest further. The company calls this a circuit breaker. The point is that extra time is a new decision, not an automatic right.
Here is the office scene. The project is stuck, the boss says you have done so much, do a little more. Next week, the same line. Meanwhile the team's next good piece of work never begins. Stopping does not mean giving up. One manager asks, "How much effort have we put in so far?" A better one asks, "If we give five more days, what will we get?"
Give your boss a small note when you ask for the extension. Three lines: what will we get in the next five days, what will we reduce in the scope, and on which day will we stop and decide again. Agree on these first. It shows you respect the team's time and not only effort. Teams I train through our corporate trainings find this note easy to adopt.
Managers can make this a habit: set the time for the work first, protect the team from interruptions, and review at the end of the slot. If you are building a leadership habit for your managers, see my leadership training or contact me. I say it in Hindi in the video: "पिछला महीना बचाने के चक्कर में अगला महीना मत गवाइए" (do not lose next month trying to rescue last month).

In Shape Up, 37signals gives big-batch work six weeks with protected time. The team can remove less important features to finish.
Not by default. The approach and further investment must be reconsidered first, which Basecamp's makers describe as a circuit breaker.
Three things: what the extra days will deliver, what you will remove from the work, and the date you will stop and decide again.
No. It is an office adaptation of one company's method, not a universal deadline. Use it as a way to set time first and decide again at the end.
