TL;DRToday AI can read a bank statement and match it to your ledger, suggest an expense head for each line, summarise a long vendor email thread, and draft the commentary that explains why travel cost moved this month. It saves hours of typing and sorting. What it cannot do is own the answer. I run my own businesses with more than a dozen AI agents and a supervising agent, and the rule is the same in my office: the agent prepares, a person decides.
Begin where the work is repetitive and the result is easy to verify. Bank reconciliation is the classic one: upload both files, ask for unmatched items, and review only the exceptions. Next comes expense coding, vendor name clean-up and first-draft variance notes. Once the team trusts the method, extend it to accrual checklists and reminders to department heads. Never let AI post an entry, file a GST or TDS return, approve a payment or give a final figure to the auditor without a person reading it. Do not paste confidential client data into a free public tool. Do not accept a tax position just because the answer sounds confident, since these tools can state a wrong section number with full certainty. Treat AI like a fast junior who never gets tired and sometimes makes things up: useful, but always reviewed.
Build the check into the process, not into good intentions. Every AI output should come with its source rows, so the reviewer can tick them against the ledger. Control totals must agree before and after: if AI cleaned 1,200 lines, the sum of those lines must match the original. Keep a simple log of who reviewed what. A person approves at each gate, and the approval is recorded. That is how a faster close still passes audit.
ChatGPT, Claude and Gemini are good for drafting, summarising and analysing files you upload. Microsoft Copilot works inside Excel and Outlook, which is where accountants already spend the day. A shared Notion knowledge base can hold your close checklist and policy notes so the AI answers from your rules and not from guesswork. The right choice depends on your data rules and your IT policy, so decide that with your IT head before the first session.
