AI for executive assistants works best on inbox triage, meeting minutes and the boss's daily brief, with a person approving every send. Here is the practical setup.

AI helps an executive assistant most in three places: sorting the inbox, writing meeting minutes and preparing the boss's daily brief. In each one the assistant gives AI the first draft and keeps the final decision. NASSCOM-Deloitte estimates India needs 1.25 million AI professionals by 2027, and admin teams are one of the easiest places to start building that skill inside a company.
TL;DRStart with triage, not replies. Ask the AI to read the day's mail and sort it into three piles: needs the boss, needs me, can wait. Ask it to pull out deadlines and names in one line each. Then draft replies for the routine ones and read every draft before it goes. I run my own mail with an AI assistant that works this way, and the rule never changes: it prepares, a person sends. Teams that want this built into daily habits can look at our AI training for admin and executive assistants.
Yes, if you give it good input. Record or transcribe the meeting, then ask for minutes in a fixed format: decisions, action items with an owner and a date, and open questions. Claude, ChatGPT and Microsoft Copilot all do this well. The assistant's job moves from typing to checking: does each action item have the right owner, and did the AI hear a number correctly? A two-minute check beats an hour of typing. Never send minutes you have not read against your own notes.
| Task | What AI does | What the person does |
|---|---|---|
| Inbox | Sorts mail, flags deadlines, drafts routine replies | Decides priority, reads and sends every reply |
| Meeting minutes | Turns transcript into decisions and action items | Checks owners, dates and figures before sending |
| Daily brief | Summarises calendar, mail and documents on one page | Adds context only a person knows |
| Travel and scheduling | Suggests options and drafts itineraries | Confirms and books |
| Confidential papers | Nothing, unless company-approved | Handles directly |
A good daily brief is short. Feed the AI the calendar, the overnight mail and any documents the boss must read, and ask for one page: today's meetings with a line on who is attending and why, three emails that need a decision, and anything that changed since yesterday. The assistant then adds what only a person knows, such as which meeting the boss will want to skip. Keep the format identical every day so the boss learns where to look.
Pick one general assistant and one that lives inside your office software. ChatGPT, Claude and Gemini are good for drafting and summaries. Microsoft Copilot works inside Outlook, Teams and Word if your company already pays for it. Notion helps as a shared place for templates and prompts. Do not start with five tools. Start with one, write down the prompts that worked, and share them with the team. Companies planning this for a whole function can see our AI training for corporates.
Some things stay with a person. Do not paste board papers, salary data, legal matters or anything under NDA into a public AI tool without your company's approval. Do not let AI send email, book travel or accept meetings without a human check. Do not trust it with names, figures and dates without checking them against the source. AI can sound sure and still be wrong. The assistant is the last line of defence between a bad draft and the boss's signature.
Train the team on the same three workflows together, using their real inbox and real meetings, not sample exercises. Fix one rule set: what may go into AI, what must be approved, who checks what. Run a short practice session, then a two-week trial on one task. After that, add the next. Training a team together also means one assistant's good prompt becomes everyone's. No. AI drafts and summarises, but it does not know the boss's priorities, relationships or what to keep quiet. The assistant who uses AI well finishes routine work faster and has more time for the judgment work that matters.
It can be, if the company sets rules. Keep confidential material out of public tools, use your company's approved or paid versions where available, and have a person read everything before it is sent.
Most teams can start using it on real work after a single focused session. Habits take longer, which is why we suggest a two-week trial on one task before adding more.
