How Pune finance teams can use AI to draft the monthly MIS pack and variance notes, with the checks an accountant must keep and the data that stays private.

AI for finance teams in Pune works best on the monthly MIS pack: let AI flag variances and draft the commentary, while your accountant checks every number before it reaches the owner. NASSCOM-Deloitte estimates India needs 1.25 million AI professionals by 2027, and finance teams that learn these tools early are better placed.
TL;DRAn MIS pack is the monthly set of reports an owner or board reads: sales against target, margins, expenses, receivables, payables and cash. In many Indian firms it is built by hand in Excel after the books close, and the commentary is written last, late at night. AI does not replace the books. It reads the numbers you give it and drafts the first version of the story, so your team spends its energy checking and explaining instead of typing.
Here is a workflow that works. Close the books as usual and export the trial balance and sales report to Excel. Share a masked copy with your approved AI tool, along with last month's pack. Ask it to flag variances above a threshold you set, such as a ten percent jump in any expense head, and to draft one line of explanation for each. Your accountant then checks each flagged line against vouchers, edits the wording and signs it off. The owner sees a clean pack, not a chat transcript.
| Month-end step | What AI does | What the person does |
|---|---|---|
| Export and mask data | Nothing | Accountant chooses what is shared and masks identifiers |
| Variance flags | Lists items beyond your threshold | Checks each one against vouchers |
| Commentary | Writes a first draft in plain English | Adds the real reason and edits the wording |
| Receivables follow-up | Drafts reminder messages | Decides who to call and when |
| Sign-off | Nothing | Finance head approves the pack |
My rule is simple: AI drafts, a person decides. AI is good at reading a large sheet quickly, spotting a number that moved, matching vendor names spelled five ways and writing a plain-English paragraph. It is poor at knowing why a payment was delayed, whether an expense is allowed under GST rules or whether a customer will really pay. Those calls need someone who knows the business and the law. Never let a tool post an entry, file a return or approve a payment.
Owners read three things: what happened, why, and what to do next. Ask AI to write each month's commentary in that order, in under 200 words, in plain English or Hindi if your owner prefers it. Give it the previous two months so it can say what changed, not just what the number is. Then add what only you know, such as a late customer or a one-time repair. I use the same habit in my own businesses, where AI agents prepare first drafts and I review them before anything is acted on.
Financial data needs more care than most. Use a company-approved AI account, check that your data is not used to train the model, and mask names, GSTIN, PAN, bank account numbers and salaries before sharing a sheet. For sensitive books, consider private AI running on a company laptop. Keep a short log of what was shared, with whom and when. My guide on private AI for companies, for HR and finance teams explains the options in plain terms.
Pune finance teams work in different worlds. Auto and auto component makers in Pimpri-Chinchwad, Chakan and Ranjangaon track material cost, scrap and dealer receivables closely. IT and services firms in Hinjewadi and Kharadi watch utilisation, billing and foreign exchange. Engineering and food units in the MIDC belts juggle inventory and vendor payments. The workflow is the same but the variance rules differ, so each team should write its own checklist of what to flag. A template from the internet will miss what matters in your plant or office.
Reading about this will not change your month-end; practice will. I suggest a hands-on session where your finance team brings last month's real pack with masked data, builds the variance checklist and writes the commentary with AI while a senior accountant reviews every line. Then run it live for one close. I cover this in my AI training for finance and accounts teams, part of my AI training for corporates. Use AI to flag variances against a threshold and draft the commentary from masked numbers. An accountant checks every flagged line against vouchers and signs off before the pack reaches the owner.
Not on a personal free account. Use a company-approved account, switch off data sharing for training where possible, and mask names, GSTIN, PAN, bank details and salaries before sharing any sheet.
No. AI speeds up reading sheets and drafting notes, but judging the reason behind a number, applying GST and accounting rules and approving payments stay with qualified people.
