ChatGPT is useful for accountants when it drafts, summarises and explains, and dangerous when it is allowed to calculate, post or decide. Use it for the first draft of the work, and keep a qualified person on every figure that leaves your department. NASSCOM-Deloitte estimate India needs 1.25 million AI professionals by 2027, and finance teams are part of that shift.
TL;DRChatGPT works like a quick, well-read junior who has never seen your books. It can draft a payment reminder, explain a GST notice in plain language, summarise a 40-page lender agreement, and write an Excel formula you describe in words. It can also turn rough notes into a clear query to an auditor. What it cannot do is know your ledger, your policies or what is true in your company. Treat everything it writes as a draft that someone qualified must read against the source.
The biggest gains sit in the work around the numbers, not the numbers themselves. Think month-end follow-up emails, vendor query replies, variance commentary for management, reading long contracts, and building a reconciliation checklist. I run my own businesses with more than a dozen AI agents and a CRM built with AI, so I have seen where time is really saved: in drafting and sorting, never in final judgement. First, it must never do arithmetic you rely on, because language models can state a wrong total with full confidence. Second, it must never post entries or file anything on a portal. Third, it must never approve or release a payment. Fourth, it must never receive client or company data on a personal free account. Fifth, it must never be the final word on tax or audit positions: a chartered professional owns that opinion. If a tool breaks one of these five, stop using it for that task.

The tool matters less than the rules around it. ChatGPT, Claude, Gemini and Microsoft Copilot can all draft, summarise and explain. Copilot has the advantage of sitting inside Excel, Outlook and Teams, which many finance teams already pay for. Whatever you pick, choose one business-grade account for the team so that data handling is decided once, by the company, and not by each person. Accounts teams hold salary data, bank details, GSTINs and client financials. Decide in writing what may be pasted into an AI tool and what may not. A simple rule works: remove names, account numbers and PAN before pasting, or use a business account where your company has accepted the provider's data terms. Check what your IT head and your auditor are comfortable with. If a task needs raw sensitive data, do it in your accounting software, not in a chat window.
Every AI output should have a named checker and a stated check. For a drafted email, the sender reads it. For a summary of a contract, the reviewer reads the clauses it quotes. For a formula, the accountant tests it on five rows with a known answer. Nothing moves into the books, a filing or a client reply until that person has signed off. Write this into your month-end checklist so the approval step is not left to memory on a busy closing day.
Self-learning leaves a team with uneven habits and a few risky shortcuts. A short, practical session built on your own month-end tasks is more useful than a general tools tour.
